Token Administration System V2.0 Timeline

Timeline for Issuing New PDCs 9/28/08
1.        Several things to discuss:
-           TAS 2.0 is ready for production - need to deploy new 64K eTokens
-           PDCs are going to begin expiring 9/24/08
-           New 64K(green) eTokens to be used
-           Have new PDC certificate profiles (turns off S/MIME encryption) to begin using (check with Kim)

2.        We would like to bring up TAS 2.0 and use it to issue the new certificates on the new 64K eTokens during the week of Sept 22 before the first certs begin to expire.
3.        We have a schedule for implementation which we would like to propose:
8/28: Meeting with StuTel to review TAS 2.0 and decide on timeline for upgrading to TAS 2.0 and issuance of new certs on new eTokens (Frank, Ismael,Michael, Mary, Carol C., Pat)
8/29: Review TAS 2.0 Role Manager form and schedule time (on 9/19) with IRM (Karen as TAS Role Manager) to review new TAS roles and re-encrypt site key.
9/2-9/12: Create new TAS tables in production (these will have no effect on current TAS operations). Work with Rhonda to create new oracle database roles and assign them to current TAS operators. Do we need forms signed for the db roles?  Old roles should be deleted after 9/22. Arrange time to contact Anne S. and Carol H. on 9/22 to install and test TAS 2.0. 9/3: Notify Sys Admins (Daniel Wright) for StuTel that we need them to install TAS 2.0 on 9/17 for CA and RA workstations. Provide them with doc and TAS2.0. (Ismael)
9/10: StuTel provides Ismael with the text for the revocation email message so that it can be included in the upgrade to TAS 2.0 (Pat and Carol)
9/10: Becky Brim to get TAS Backup Token from Records Mgt storage. (Frank)
9/10: Provide text of email notification to be used for mass emailing to eToken users about down time. (Frank,Mary,Pat)
9/10: Provide text of email notification to be used for mass emailing to eToken users about TAS back up. (Frank,Mary,Pat)
9/10:   Provide text of email notification to be used for individual emailing to eToken users to inform them their certificate is going to expire the following monthy. (Frank,Mary,Pat))
9/10: StuTel to provide location and times where users can go to get their certificates renewed. This will be published on the PKI website and referenced in the email notifications sent out. (Pat,Carol)
9/16: eProv installs TAS 2.0 on Karen's machine. (Michael)
Proposing four day window for moving TAS 2.0 into production :  9/17/08 - 9/22/08. This would be best because it will be after the September leave signing period and before certificates begin to expire:
9/15: Send email to eToken users that TAS is down due to software maintenance beginning 9/17 - indicate another email notice will be sent when it is back up on or before 9/22/08. (Mary - some did the mass email previously - who?)
9/16: Request DBMS to backup the TAS2 schema in VATECH on the night of the 16^th.
9/17: Contact System Admins for StuTel to verify that TAS 2.0 software has been installed. (Ismael)
9/17: eProv begins conversion: database table conversions, load tokens into inventory, server updates, etc (Ismael)
9/19: eProv meets with Karen (previously scheduled time) to review TAS roles that were script loaded and re-encrypt the site key - and any training needed. (Ismael)
9/22: eProv goes to StuTel office to test TAS 2.0 with RAs and CAs. (eProv)
9/22: eProv contacts Carol H and Anne S to have TAS 2.0 installed and tested. (Ismael)
9/22: eProv contacts Rhonda Randel to delete old TAS 1.0 db roles. (Ismael)
9/22: Send email to eToken users that TAS is back up - include link to times and location for certificate renewals.
9/23-10/09: Need to make sure all StuTel TAS operators have tested the new software and are able to perform their functions.
9/23:  Give the TAS Backup Token to Becky Brim to return to Records Mgt storage. (Frank)
9/23:  Send the email about certificate expirations for those users who have a cert expiring in Oct. (eProv)
10/1: Notify all people who will expire Nov. (eProv)
11/1: Notify all people who will expire Dec. (eProv)
